Updated Cancellation Policy

Data & Privacy

At Spark & Flutter we require certain personal & medical information about you. This is to book in an appointment, to carry out a treatment and record information on that treatment for reference at any future appointments.

The information we collect includes:
Name & Contact details (phone numbers & email address)
Date of Birth
Address & GP Address
Known Allergies & Medical Conditions
Desired outcome
Record of patch tests, treatment and treatment outcome

Your information is stored on our booking software, Timely via the consultation app, Consult. We also solely use your name on our financial records.

We hold this information for the following reasons:
To identify you as a client
Contact you regarding any appointments
To know you are of legal age to receive treatments
Medical information and records of patch tests is required to ensure that treatments are safe for you to receive
Address to identify you if we have more than 1 client with your name, to send patch tests and other items consented to be sent by you
Past treatment information to ensure the future treatment is carried out to the same level and outcome

We do not pass any information on to third parties. All information is held securely requiring a password or in a lockable cabinet.

We will only contact you in regards to an appointment and not send any marketing unless you consent for us to do so on our consent forms.

Your choice to ‘follow’ Spark & Flutter on any social media platforms will not be used to contact you unless you contact us first with an enquiry.

Each client’s privacy is very important to us and we do our utmost to protect it.

By booking an appointment, either through our online booking system, Timely, or via telephone, email or social media, you consent to us holding your contact information. When you arrive for your appointment you will be required to fill in and sign a Consultation card and a Data Consent form. We are also currently bound by new UK Law to hold information regarding each appointment visit for 21 days in line with NHS Track & Trace following the covid-19 outbreak.

It is your right to request we securely delete your information if you so wish. To do this you must contact us in writing, either letter or email, stating your request with the understanding we can take up to 28 days to do this.

It is also your right to request a copy of all the information we hold on you and where we hold it, if you require this information you must contact us in writing, either letter or email, stating your request and accept this can take 28 days to get back to you.



Patch Tests

It is a legal requirement to have a patch test carried out for certain treatments. Upon the booking of your appointment you will be contacted to make an appointment for a patch test in relation to the appointment booking. Failure to show for a patch test appointment will result in automatic cancellation of your booking and you may not be notified of this.

Due to the nature of the services carried out by Spark & Flutter, patch tests must be completed for you own safety and well-being.
Disclaimer consent forms are not provided, even if you have had the same treatment elsewhere a patch test is essential.


Gift Vouchers

Gift vouchers are non refundable and valid for 12 months from date of purchase. The expiry date is presented on the card and cannot be changed or extended for any reason. Vouchers must not be sold or transferred without permission from Spark & Flutter. Spark & Flutter reserve the right to refuse a gift voucher for payment if it is believed to have been sold, copied or reproduced.

Deposit and Cancellation Policy

Spark & Flutter request a deposit for all new clients and for appointments made by existing clients that have not visited in over 6 months. This deposit is non-refundable, it will be redeemable against your treatment or any retail products that you purchase. If you fail to give at least 24 hours notice for cancellation you will lose your deposit. Spark & Flutter may also request a deposit under other circumstances and you will be notified at the time of booking if this is required.

Spark & Flutter require all clients to give 24 hours notice for cancellation. If less than 24 hours is given it will incur a 50% charge. Failure to show for an appointment without notice incurs a 100% charge. Exemptions of the charges may be made in certain circumstances. Future appointments will not be made until outstanding charges have been paid.

The text service is a gentle reminder and should not be relied upon. You will still be charged for late cancellation or failure to show if it is made under the excuse you did not receive your reminder text.

We reserve the right to refuse any bookings if you have repeatedly cancelled at late notice or failed to show for an appointment.

Cleaning & Hygiene

The standard of hygiene at Spark & Flutter is constantly being reviewed to ensure it meets industry standards and keeps you, the client, and me safe. Hand washing facilities are available in the room with disposable hand towel. There is also antibacterial hand gel for you to use. I wash my hands before and after every client. The treatment room is cleaned on a regular basis; the floor is cleaned consistently throughout the day. The iPad and card machine as well as any other items clients may touch are wiped with antibacterial after every use.

During hands & feet services disposable desk towel, cotton pads and lint free pads are used. These are one use items are thrown away immediately. Metal tools that are used for cutting nails and cuticle work are washed in hot water before disinfected and dried using the Navy Pro Tools system. This system is a three-step system that complies with EU laws, is FDA approved and is the most effective on the market. Nail files are disinfected immediately after use with Mundo File and Abrasive Disinfectant Spray. It’s Effective Spectrum includes: Methicillin Resistant Staphylococcus Aureus (MRSA), H1N1 Influenza A Virus, Escherichia Coli (E-Coli), Pseudomonas Aeruginosa, Enterococcus Hirae, Mycobacterium Tuberculosis (TB), Clostridium Difficile (C-Diff) Vegetative Cell Formation (growing cells) of Gram Positive Organisms, HIV-1, Human Influenza B Virus (HIBV), Staphylococcus Aureus, Hepatitis C Virus (HCV), Aspergillus Niger, Candida Albicans. Nail polish and gel polish ingredients prevent transportation of bacteria and virus from client to client. Any towels that are used are only used once before going into the laundry basket for a high temperature machine-wash. The desk has an extraction and ventilation system to remove particles from the air. The desk and chairs are cleaned down using Barbicide Disinfectant Spray between clients. You are welcome to ask for a facemask to wear during your treatment.

During lash treatments disposable under eye pads, mascara wands and micro brushes are used. These are all disposed of after each client. The couch is not covered with couch roll as this doesn’t fully protect your or the couch, I will place a piece over the bottom to protect the material from shoes. The couch is cleaned down using Barbicide Disinfectant Spray before every client. The memory foam pillow that supports your head is cleaned before every client using Dettol All in One Spray, which kills 99.9% of bacteria and viruses on soft, material surfaces. The pillowcase is also regularly machine-washed. Metal tweezers that are used for applying lashes are washed with hot water before being disinfected and dried using the Navy Pro Tools system. This system is a three-step system that complies with EU laws, is FDA approved and is the most effective on the market. You are welcome to ask for a facemask to wear during your treatment.

During waxing and tinting treatments the couch is covered using disposable couch roll, this is to protect the material from the wax and tint, preventing staining. Disposable tissues, spatulas and cotton pads are used to carry out the treatments and are disposed of after every client. Tint brushes and tweezers are washed with hot water before being disinfected and dried using the Navy Pro Tools system. This system is a three-step system that complies with EU laws, is FDA approved and is the most effective on the market. The couch is cleaned down using Barbicide Disinfectant Spray before every client. The memory foam pillow that supports your head is cleaned before every client using Dettol All in One Spray, which kills 99.9% of bacteria and viruses on soft, material surfaces. You are welcome to ask for a facemask to wear during your treatment.
